Privacy

How HotelDesk treats the details you give us on hoteldesk.tech, and the guest details properties keep in HotelDesk.

What we ask for

On sign-up and our lead forms: your name, work email, property or company name, and the system you use today if you tell us. On the contact form, also your message and, if you add it, a phone number. When you sign up, a password (we only ever store a one-way hash of it).

Why we use it

To give you what you asked for: your trial account, the live demo, the migration simulator or pitch deck, or a reply to your message. We may also send you one follow-up email about HotelDesk after your visit, and you can unsubscribe from it. Product news only if you tick the box on sign-up, and you can unsubscribe any time.

Who handles it

We never sell or share your details. A few trusted providers process them only for us, to run HotelDesk:

  • Hosting and database: where the site runs and your details are stored (Vercel, Supabase).
  • Email delivery: sends the links, receipts and replies you ask for.
  • AI assistant: answers the website chat and helps our team draft replies (Anthropic). The chat says when you are talking to it.
  • Payments: properties that take card or PromptPay payments use their own Stripe or Opn account; card details go to those providers, never to HotelDesk.

Cookies

We use a small number of first-party cookies:

  • Sign-in session: keeps you signed in to HotelDesk.
  • hd-theme and locale: remember light or dark, and your language.
  • demo_access: lets you use the live demo for 24 hours after you ask for it.
  • hd_lead: remembers the details you left on a lead form, so you don't retype them.
  • hd_vid: counts pages viewed on hoteldesk.tech, and links them to your enquiry once you leave your details.
  • aff: remembers which partner referred you, so they are credited if you sign up.

Guests of properties that use HotelDesk

If you booked a stay at a hotel or hostel that uses HotelDesk, that property decides how your booking details are used and is responsible for them; HotelDesk stores and processes them on the property's behalf, to run its booking site, front desk and emails. For anything about your stay or your details, contact the property first; we will help them answer you.

Your choices and rights

You can ask us to show you, correct or delete the details we hold about you, or to stop using them for follow-ups, at any time. Under Thailand's PDPA and the EU GDPR you also have the right to object, to restrict how we use your details and to complain to a data protection authority. We keep enquiry details while we are in touch with you, and delete them when you ask.
